Privacy Policy
Last updated: 2 October 2026
This policy explains how I collect, use and protect your personal information when you visit this website, contact me, or become a client. I take your privacy seriously, and confidentiality is central to my work.
1. Who I am
Zoe Green, trading as Zoe Green Therapy, is the data controller for your personal information. This means I decide how and why it is used.
• Address: Riverside House, River Lawn Road, Tonbridge, TN9 1EP
• Email: zoe@zoegreentherapy.com
2. Information I collect
When you contact me through the website form, by email or by phone, I collect your name, email address, phone number and anything you choose to tell me in your message. This may include information about your health or circumstances.
If you become a client, I also collect:
• Contact details, and an emergency contact or GP details if you choose to provide them
• Brief session notes and assessment information, which may include information about your physical and mental health, relationships, background and other sensitive matters
• Appointment, payment and invoice records
When you visit the website, basic technical information may be collected, such as your IP address, browser type and the pages you visit. See section 9 on cookies.
The information about your health and other sensitive matters is "special category data" under UK data protection law, and I give it extra protection.
3. How I use your information
I use your information to:
• Reply to your enquiry and arrange an initial consultation
• Provide therapy, including keeping appropriate records
• Manage appointments, invoices and payments
• Meet my professional, legal, insurance and tax obligations
• Keep the website working and secure
I do not use your information for marketing, I do not sell it, and I do not use it for automated decision-making or profiling.
4. My lawful basis
Under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018, I rely on:
• Steps before a contract, and contract: to respond to enquiries, arrange sessions and provide therapy you have agreed to
• Legal obligation: to keep financial records and, in rare cases, to share information where the law requires it
• Legitimate interests: to run my practice and website, keep records for supervision and insurance, and handle complaints or claims
For special category data:
• Explicit consent for health information you choose to include in an enquiry. You can withdraw this consent at any time.
• Provision of health care or treatment for information I hold as your therapist, under a duty of confidentiality.
• Where necessary, vital interests or legal claims.
5. Confidentiality and when I may share information
What you share in therapy is confidential. I will explain the limits of confidentiality at our first meeting and in our written agreement. I will only share information without your consent in rare circumstances, such as:
• Where I believe there is a serious risk of harm to you or someone else
• Where the law requires it, for example a court order or matters relating to terrorism or money laundering
• Where there are safeguarding concerns about a child or vulnerable adult
Where possible and safe, I will discuss this with you first.
I receive regular clinical supervision, as BACP requires. I discuss my work with my supervisor without sharing information that identifies you.
6. Who processes information for me
I use a small number of trusted service providers to run my practice and website. They process information only on my instructions:
• Wix.com, which hosts this website and its contact form
• [email provider, e.g. Google Workspace or Microsoft 365] for email
• [video platform, e.g. Zoom] for online sessions
• [accountant / bookkeeping software] for financial records
• [notes storage, if electronic]
Some of these providers may store data outside the UK, for example in the United States or European Economic Area. Where this happens, they use safeguards recognised under UK law, such as adequacy regulations or approved contract terms.
7. How long I keep information
• Enquiries that do not lead to therapy: deleted within [6 months] of our last contact
• Client notes and records: kept for [7 years] after therapy ends, in line with professional guidance and insurance requirements, then securely destroyed
• Financial records: kept for 6 years after the end of the tax year they relate to, as HMRC requires
8. How I keep your information secure
I store client records securely. Paper records are kept locked; electronic records are password-protected and encrypted where possible. Session notes are kept brief and separate from your contact details where practical. Please be aware that email is not a fully secure way to send information, so please keep sensitive details for our sessions.
9. Cookies
This website is hosted by Wix, which sets some cookies that are essential for the website to work and stay secure. [If analytics are enabled: With your consent, the website also uses analytics cookies to understand how visitors use it.] You can choose which non-essential cookies to accept using the cookie banner, and change your choice at any time through [the cookie settings link in the footer]. You can also block or delete cookies in your browser settings.
10. Your rights
You have the right to:
• Ask for a copy of the personal information I hold about you
• Ask me to correct information that is inaccurate or incomplete
• Ask me to delete your information, or to restrict or object to how I use it
• Ask me to transfer your information to another organisation
• Withdraw your consent at any time, where I rely on consent
Some of these rights have limits. For example, I may need to keep some records for legal or insurance reasons, and I will explain if this applies. To make a request, email zoe@zoegreentherapy.com. I will respond within one month.
11. Complaints
If you are unhappy with how I have handled your information, please contact me first and I will try to put it right. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113.
12. Changes to this policy
I may update this policy from time to time. The latest version will always be published on this page, with the date it was last updated.
